Privacy Policy

Hospitality Explained LLC (“Hospitality Explained,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit hospitalityexplained.com, create an account, purchase a product, subscribe to email communications, contact us, or otherwise use our website and services.
1. Information We Collect
We may collect information you provide directly to us, including:
- your name and email address;
- billing and customer information;
- account login and profile information;
- order, purchase, and download-access information;
- newsletter signup information and communication preferences;
- messages, support requests, and other communications you send us; and
- information you voluntarily submit through forms, tools, or resources on the website.
Payment-card details are processed directly by Stripe. Hospitality Explained does not receive or store your full payment-card number.
We may also receive technical and usage information when you use the website. Depending on the feature used and your consent choices, this may include:
- IP address, browser type, device information, and operating-system information;
- cookie or similar device identifiers;
- referring page, landing page, pages or resources requested, and timestamps;
- interactions with pages, resources, products, cart, checkout, and account features;
- campaign, referral-source, and UTM attribution information;
- information used for website security, fraud prevention, session management, consent management, and reliable delivery of site features; and
- analytics information used to understand site usage and performance.
We may retain records of your consent choices, including the categories selected, the date and time of the choice, the applicable banner or policy version, and limited technical information needed to demonstrate or honor your preferences.
Necessary information may be processed to operate and secure the website. Optional Analytics and Marketing technologies are disabled by default and are activated only when the applicable consent is granted, subject to applicable law and the configuration described in our Cookie Policy.
2. How We Use Information
We may use information to:
- operate, maintain, secure, and troubleshoot the website;
- create and manage customer accounts;
- process purchases and provide products, downloads, and related access;
- send order confirmations, download information, account messages, password resets, and support communications;
- prevent fraud, automated abuse, and security incidents;
- respond to questions and customer-service requests;
- deliver newsletters and other marketing communications when you have chosen to receive them;
- measure site performance and understand audience-level usage when Analytics consent is granted;
- analyze ecommerce interactions and campaign or referral-source attribution when Analytics consent is granted;
- improve our resources, products, website, and customer experience;
- maintain business, accounting, tax, transaction, consent, and compliance records; and
- comply with applicable law and enforce our agreements.
Purchasing a product does not automatically subscribe you to marketing communications.
Hospitality Explained does not currently use Meta Pixel, Meta Conversions API, Google Ads remarketing, or similar active marketing trackers for targeted or cross-context behavioral advertising. If advertising measurement or remarketing technologies are introduced in the future, we will configure the applicable consent controls, update relevant disclosures, and provide applicable privacy rights before using them.
Legal Bases for Processing
If European Union or United Kingdom data-protection law applies, our legal bases for processing personal information may include performance of a contract, compliance with a legal obligation, our legitimate interests or those of a third party, and consent. Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.
3. Email Communications
Transactional emails, such as order confirmations, download notices, account information, password resets, and customer-support messages, may be sent as necessary to provide the service you requested.
Marketing and newsletter emails are separate. We use MailerLite to manage marketing subscriptions. You may unsubscribe from marketing emails at any time using the unsubscribe link included in those messages.
Unsubscribing from marketing communications does not prevent us from sending transactional or service-related messages concerning a purchase, account, or request you made.
4. Cookies and Similar Technologies
Hospitality Explained uses Complianz to manage cookie and similar-technology choices. The consent interface organizes technologies into the following categories:
Necessary
Necessary technologies are required for core site functionality, security, accounts, shopping carts, checkout, payments, digital-download access, fraud and abuse prevention, and consent management. Necessary technologies are always active because the website cannot provide these requested functions reliably without them.
Analytics
Analytics technologies are optional and help us understand site usage, performance, ecommerce interactions, referral sources, and campaign attribution. Current Analytics-category technologies include Pressable/Gauges site analytics and WooCommerce Sourcebuster attribution. They are default denied and are activated only when Analytics consent is granted where required or configured.
Marketing
Marketing technologies are optional technologies that may be used for advertising measurement, remarketing, or targeted advertising. The Marketing category is available in the consent interface, but no active Marketing-category tracker is presently configured. Google Analytics 4, Google Tag Manager, Google Ads, Meta Pixel, and Meta Conversions API are not currently active on the website.
Your consent choices
On the consent interface, you may:
- select Accept all;
- select Reject non-essential; or
- select Manage preferences to choose categories individually.
Analytics and Marketing are default denied. You may reopen Cookie Preferences from the website footer at any time to review, change, or withdraw your consent. We may retain consent and version information as described in Section 1 for compliance and preference-management purposes.
Where supported and applicable, we recognize browser-based privacy preference signals, including Global Privacy Control (GPC), through our consent-management tools. We honor GPC where required by applicable law. Do Not Track signals may also be recognized where supported, but there is no uniform legal or technical standard for DNT across all browsers and services. You may use Cookie Preferences for direct control of available categories.

5. How We Share Information and Service Providers
We may share information with service providers that process information on our behalf when reasonably necessary to operate the business, secure the website, and provide the services you request.
Current providers and technologies may include:
- Pressable, for website hosting and infrastructure;
- WordPress and WooCommerce, for website, account, ecommerce, cart, checkout, order, and download functionality;
- Stripe, for payment processing, fraud prevention, and transaction-related services;
- Complianz, for consent management, consent records, and regional Cookie Policies;
- Pressable/Gauges, for site-usage analytics when Analytics consent is granted;
- WooCommerce Sourcebuster, for referral, campaign, and source attribution when Analytics consent is granted;
- MailerLite, for newsletter and marketing communications when you subscribe;
- Cloudflare Turnstile, for bot and abuse prevention on protected forms; and
- Google Workspace, for ordinary business email and customer-support communications.
We do not currently sell personal information or share personal information for cross-context behavioral advertising, as those terms are defined under applicable U.S. state privacy laws. We do not currently use personal information for targeted advertising through active marketing trackers.
Additional analytics or advertising providers may be introduced in the future only after appropriate notice, consent configuration, disclosures, and applicable rights are provided.
We may also disclose information when reasonably necessary to comply with law, legal process, or enforceable governmental requests; protect our rights, users, or the public; investigate fraud or security issues; or complete a merger, acquisition, financing, reorganization, sale, or transfer of all or part of the business.
Some service providers may process information outside the jurisdiction where you live. Where applicable law requires safeguards for such transfers, we take steps designed to use appropriate safeguards, which may include contractual protections or other transfer mechanisms made available by our service providers. Privacy protections and legal requirements may differ between jurisdictions.
6. Data Retention
We retain information for as long as reasonably necessary for the purpose described, legal obligations, security, dispute resolution, or recordkeeping. Retention varies by category and context, including:
- account and download-access information for as long as needed to maintain the account, provide purchased access, or address account-related requests;
- order, transaction, tax, and accounting records for as long as reasonably necessary to meet business and legal recordkeeping obligations;
- newsletter subscription and suppression records for as long as needed to deliver requested communications and honor unsubscribe choices;
- customer-support communications for as long as reasonably necessary to respond, maintain service records, and resolve disputes;
- consent choices and version records for as long as reasonably necessary to demonstrate or honor visitor preferences;
- analytics and attribution information for as long as reasonably necessary for measurement and improvement purposes, subject to the applicable consent; and
- security and abuse-prevention logs for as long as reasonably necessary to protect the website, users, and business.

7. Security
We use reasonable administrative, technical, and organizational measures designed to protect information.
Bot and Abuse Protection
We may use Cloudflare Turnstile on certain account or security-related forms to help distinguish legitimate users from automated abuse. In providing this service, Cloudflare may process technical information such as IP address, browser and device information, and other security signals in accordance with its own privacy practices. Turnstile is used for security and abuse prevention, not to subscribe you to marketing.
No method of internet transmission, storage, or electronic processing can be guaranteed to be completely secure, and we cannot guarantee absolute security.
8. Your Choices and Rights
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or information about certain personal information; to opt out of certain processing; or to appeal a decision concerning a privacy request.
You may also:
- unsubscribe from marketing email using the unsubscribe link in a marketing message;
- use Cookie Preferences in the website footer to review, change, or withdraw optional consent;
- use supported browser Do Not Track or Global Privacy Control signals;
- contact us to request correction of inaccurate account information;
- request deletion of certain personal information, subject to legal, accounting, transaction-record, fraud-prevention, security, and other legitimate retention requirements; or
- choose not to create an account when guest checkout is available.
Privacy rights vary by jurisdiction. We will respond to valid requests as required by applicable law. We may need to verify your identity before completing certain requests.
Where applicable, you may also have the right to lodge a complaint with the data-protection supervisory authority in the country or region where you live or work.
We do not currently use solely automated decision-making that produces legal or similarly significant effects on individuals.

9. Children
Hospitality Explained is intended for adults and business or professional users. The website is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
10. Third-Party Links and Services
The website may contain links to third-party websites or services. Their privacy practices are governed by their own policies, not this Privacy Policy.
11. Changes to This Policy
We may update this Privacy Policy from time to time, including when our services, providers, technologies, or legal obligations change. The current version will be posted on this page with its effective date. Where appropriate, we will provide additional notice or request updated consent.
